Due to continued growth we are looking to update our structure and as such are looking to appoint a dedicated Risk and Quality Assurance Lead position within the company.

This new role will bring together the corporate and clinical governance roles for the company and provide a single point of contact and coordination for this important function.

Job Purpose

The key duties of the role revolve around coordinating and leading on Risk and Assurance within the company. Maintaining the Risk Register, preparing reports to the senior management team, coordinating clinical and operational audits, maintenance of company polices to ensure up to date and working with colleagues in the company head office.

The aims of this role is to help provide effective management of the company Risk Management System, and the information contained within, in order that staff within the organisation obtain accurate, timely risk management information on which to make informed decisions and help us improve and deliver better services for patients. The post holder is responsible for the development of the way Risk is managed within the company to ensure that the organisation obtains the maximum benefit from the management and reporting of risk. In addition to be able to provide assurance to the Senior Management team that Risk is monitored and managed appropriately. Aligned is to providing assurance to the senior team that there is appropriate oversight and capture of issues.

Key Responsibilities

  • Provide flexible support to the Senior Management Team and leading on the management, monitoring and reporting of Risk
  • Accurately produce reports from the company Risk Register.
  • Coordinate the collection of complaints and management of the complaints and learning log.
  • Record Non Conformances (aligned with our ISO 9001 Quality Management System), coordinate corrective action and conduct effectiveness review in timely manner.
  • Coordinating clinical and operational audits, monitoring action plans and recording effectiveness
  • Maintaining company policies to ensure they are up to date
  • To undertake small scale projects or tasks under the direction of the Operations Manager
  • Provide support to the other office team in the performance of their roles by helping with their appreciation of risk and assurance and how this links to their roles.
  • Undertake and complete monitoring tasks associated with H&S and Safety alert compliance and other administration.
  • Coordinate the review of Standard Operating Procedures to ensure processes remain relevant and responsive to business needs.
  • Complete monthly report on image management, audit and discrepancies (support provided)
  • Various monthly rolling audits including quality and updating relevant reports.
  • Work within own competencies to assist the management team and escalate issue appropriately to ensure urgent situations are addressed swiftly.
  • Ensure workload is managed and prioritised appropriately escalating barriers to the senior team.
  • Assist with tender responses and development of business cases
  • Work with Operations, IT, Finance and Business Intelligence to help support these areas in involving the management of risk into these functional areas.

Computer Administration

  • Set up and administer Dashboards for company use
  • Input generic data into organisational systems or in-house records. Printing of simple reports – i.e. training records or basic clinical info
  • Provide basic refresh dashboard operating training to staff as required
  • Monitor and communicate to users the status of Risk, incidents and Health and Safety requirements

Communication

  • Communicate with the office team of the company, escalating issues as they arise through the monitoring process
  • Communicate effectively with a range of people, either in person or on the telephone, promptly demonstrating effective communication skills in a professional and courteous manner to promote a positive image of the team whilst recognising barriers to communication.
  • Respond to common enquiries, either in person or on the telephone, promptly and in a professional and courteous manner in line with company policy.

Planning and Organising:

  • Work within the limits of own competence and responsibility and refer issues beyond these to relevant people.
  • Use and maintain resources efficiently and effectively.
  • Prioritise own workload and organise own work to meet these priorities and reduce risks to quality.
  • Demonstrate respect of patient & staff confidentially at all times.
  • Maintain a safe and tidy working environment.
  • To co-ordinate the preparation and production of meeting paperwork, collating all necessary information and arranging for its distribution.
  • To undertake small scale projects or tasks under the direction of the Operations Manager
  • Work competently within current procedures for own working practices and, where appropriate, contribute to the development and implementation of changes to improve own working practices/service, policies, procedures and guidelines.
